ChiroPad accounts are issued by your practice
ChiroPad is professional software licensed to chiropractic practices. You cannot create a ChiroPad account yourself from inside the app — accounts are created, managed, and withdrawn by the practice that licenses the software.
That determines who you contact, so start with the row that describes you.
| If you are… | To delete an account or data |
|---|---|
| A practice staff user (doctor, front desk, office manager) | Ask your practice administrator to deactivate or delete your user account. They can do this directly. |
| A practice that licenses ChiroPad | Email us at the address below to request deletion or return of your practice’s data. See “Closing a practice account”. |
| A patient | Contact the practice that treats you. Your records belong to them, not to us — see “Patient records” below. |
Deleting your user account
Ask your practice administrator to remove your user account. When they do:
- Your ability to sign in ends immediately.
- Your user record — name, email address, role and permissions — is removed from the practice’s ChiroPad system.
- Entries you authored in patient charts are not deleted. Clinical notes are part of a legal medical record that the practice is required to keep; they remain attributed to you.
If your practice administrator is unavailable or unwilling to act, email us and we will work with the practice to resolve the request.
Closing a practice account
A practice that is ending its use of ChiroPad can ask us to delete or return its data. Email the address below from an address associated with the practice; we will verify the request with an authorised contact before acting on it.
On termination we delete or return protected health information in accordance with the practice’s Business Associate Agreement, subject to the retention exceptions below. The practice chooses whether its data is returned as an export or deleted outright. We complete verified requests within 30 days.
Patient records
If you are a patient, we cannot delete your health records on your request, and neither can the app.
Your records are created and controlled by the practice that treats you. That practice is the Covered Entity under HIPAA, and it is legally required to retain medical records for a period set by state law and professional regulations — typically several years after the last date of service, and longer for minors. Requests to see, correct, or restrict your health information go to your practice directly.
We act only on the instructions of the practice.
What is retained, and why
Even after a deletion request, some data may be kept:
- Clinical records, for as long as the practice is required to retain them by law.
- Billing and claim records, where retention is required by payers, or by tax and accounting law.
- Backups. Deleted data can persist in encrypted server backups until those backups age out of their normal rotation, within 90 days. It is not restored to live systems in the meantime.
- Records we are required to keep by a legal hold, subpoena, or regulatory obligation.
Data stored on your device
Deleting the ChiroPad app from your phone or tablet removes everything it stored locally — your display preferences and any cached documents. Patient records are not stored on the device, so uninstalling does not affect them.
